Summary:

The General Accounting Specialist is responsible for all Payroll related activity, employee expense statement processing and corporate sponsored credit cards/procurement cards. Reporting to the Senior Accounting Manager, the General Accounting Specialist will assist in leading continuous improvement practices and initiatives for assigned responsibilities.

The ideal candidate will have an advanced understanding of payroll processing, ADP systems and best in class practices. S/he will be the primary contact for payroll processing, questions and issue resolution.

Essential Duties and Responsibilities:

  • Responsibilities include the management of process for the maintenance of employee pay profiles, processing leaves and terminations, data entry and file imports (commissions, bonuses and 3rd party benefit vendors), review and validation of timecard entries, and review and balancing of preview payroll batches.

  • Partner with the HR team to ensure payroll data flows seamlessly between HR and Payroll and ensure changes are implemented correctly across pay and time attendance system(s).

  • Oversee Company Credit Card Program and Procurement Card processing and controls. Monitor all balances, past dues and compliance to company/group policies.

  • Reconcile and documents all changes to each pay period with Finance leadership including additions, pay changes, leaves and terminations.

  • Conduct review of all employee expense statements for compliance with company and group policies. Add new employees to Concur system for Travel and Expense Statement processing.

  • Monitor employee air travel via Travel Agencies, review invoices and coding.

  • Apply knowledge of both local and state payroll regulations including wage and hour laws to ensure compliance.

  • Maintain ADP code/code changes and download files for general ledger entries.

  • Establish protocols for benefit coding, reporting and interfaces with third parties (Medical, Dental, 401K, etc.). Prepare required reports and ad-hoc requests as needed.

  • Support month end close by providing payroll reports and explanations as needed. Devise and implement “best practice” payroll processes and procedures.

  • Special projects and other duties as assigned, including system implementations.

Education and/or Experience – Associates or Bachelor's degree in Business or 5 years + equivalent experience in payroll or similar Accounting position. Strong background in payroll laws/regulations with experience in ADP or similar software required.

Language Skills - Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Spanish language fluency a +.
